Business Manager

Summary 

We are an award-winning practice looking for an outstanding Business Manager to be responsible for the efficient and effective management of the practice ensuring the well-being of staff and clients. You will be an expert at ensuring the office runs smoothly by supporting the Directors in business development whilst managing the office administration and facilities.

The Role

As the Business Manager, you are the backbone of the office and will make sure everything is taken care of in a timely, organised and efficient manner.

You will be the first representation and face of the company when answering calls and greeting clients. You will be responsible for the output of successful bids and managing other colleagues to achieve this.

Software and Knowledge

Ideally, you will have at least 5 years office management experience within an architectural practice and be proficient in Microsoft Office, including Excel. InDesign and Photoshop.

You will be an excellent verbal and written communicator with a strong attention to detail along with being highly organised, proactive & professional. Being trained in first aid will be an extra bonus.

Core Duties – will be split into 4 main categories

Business Development:

  • Researching opportunities
  • Administering Competition entries
  • Completing PQQs & ITT bid documents
  • Structure and breakdown historic bid information to assist future bids

Presentation/ Graphic Design:

  • Preparing presentation documents for competitions, bids etc
  • Assisting in Graphic presentation of written architectural documents
  • Assisting in writing schedules and other documents

Office administration:

  • Organising diary appointments
  • Updating marketing literature
  • Ensure website is upto date, weekly news item
  • Health & Safety administration
  • Liaise with IT
  • Generally supporting office efficiency and organisation
  • Managing Rapport database including fee input.
  • Induction of new employees
  • Maintaining Office Standards
  • Operate the office quality management system, and ensure its correct use through regular audits.

Supervising Administrative staff to ensure office efficiency and organisation

  • Booking transport and accommodation
  • Organising company events
  • Ordering stationary
  • Dealing with correspondence, complaints and queries
  • Preparing letters, presentations and reports
  • Petty cash
  • Ensuring Company Registrations are upto date.
  • Dealing with suppliers, filing and ordering
  • Updating Office Database
  • Monitoring timesheets
